Exam Season Operations: Attendance, Parents and Calm Communication

While national papers run, day schools and boarding schools still need clean attendance, gate discipline, and parent updates that reduce panic calls.
National exam weeks put every school system under stress — including schools that are not examination centres.
Parents hear rumours early. Candidates get anxious. Teachers move between invigilation and ordinary classes. The office phone never stops.
Three operating habits help:
1. Attendance truth
Keep marking who is in school. If a candidate or sibling is absent on a paper day, notify the guardian quickly. “We thought they left for the centre” should never be discovered at lunchtime.
2. One message channel
Use short SMS or portal notices for timetable reminders and reporting times. Long WhatsApp threads create conflicting advice from different teachers.
3. Protect teaching time for lower grades
Exam season is not a holiday for Grade 4 or Form 2. Publish a simple “who teaches what this week” plan so cover lessons are intentional.
Boarding schools should also align gate registers with leave permissions. Extra visitors during KCSE weeks are normal; undocumented exits are not.
Finally, remind staff that integrity is a whole-school culture. Candidates notice whether adults treat rules seriously. A calm, consistent office is part of exam readiness — not an afterthought once papers start.
